1CREATE AN ACCOUNT

The first thing to do is to create an account in the SELAVIP’s projects management system (https:application.selavip.org).

 

2NGO CREATION

Once you have created a user, you can proceed to the creation of an NGO (which will allow the presentation of projects to SELAVIP during the calls of projects). To see the criteria for creating an NGO in the system click here.

In case you forgot or lost your password, you may recover it in the starting page (https:application.selavip.org). Please click on Forgot your password? and follow the instructions.

The registration document includes 5 sections:

  • General information
  • Legal,
  • Experience
  • Means
  • Finance

All sections have mandatory fields that must be filled for the registration to be valid.

Once the form sent, SELAVIP will review the information. The status of your NGO can be as follows: Enabled, Sent for Correction, Rejected. Please note that only NGOs activated in the system can submit a project.

3PROJECT’S APPLICATION

Once your NGO is activated and if the application dates are opened for project’s application, you will be able to access the application form that contains 7 sections: 

  • General Information
  • Characteristics of the solutions to be built
  • About families and Community
  • Partenrships and Cooperation
  • Financing
  • Activities and Team
  • Attachments

All sections have mandatory fields that must be filled in order to be able to send the application.

Once the project submitted through the system, SELAVIP will review the information contained in the project’s proposal that may be declared admissible or inadmissible.  

If it is considered inadmissible, your project will not be revised and will stay out of the selection process.

If admissible, the project will be revised according to internal criteria that SELAVIP defines for each call, every project obtains a score that results in a ranking and becomes preselected.

4SELECTED PROJECT

All the preselected projects are informed to the Board of Directors that proceeds to select the best projects, the ones that best meet the objectives of SELAVIP and taking into account the available budget that is authorized each year

Once selected, the NGO will be informed accordingly and will be asked to fill in the additional information that contains 8 sections:

  • General background
  • Partners
  • Participation Families and NGO
  • Families (a description of the family, including a picture of the family with their current dwelling, is being asked)
  • Gantt
  • Bank
  • Cost per item
  • Total cost of the project

Once the additional information revised and approved, based on the information sent by the NGO, SELAVIP will proceed to generate the formal agreement in cooperation with the NGO. This can be subject to corrections.

When both parties agree on the terms of the document, SELAVIP and the NGO sign the agreement, a copy of this document remains attached in the system and may be downloaded.

 

5IN EXECUTION PROJECT

Once the agreement is signed, the status of the project will change to «In execution». During this phase, money transfers are requested and confirmed through the system. Progress reports must be filled. The number of money transfers and reports may vary for each project as defined in the agreement.

Progress reports contain two sections:

  • Progress report
  • List of families (for each family, it is being asked to add a picture of the solution being built)

 

6CLOSING

Once a project is finished, it is necessary to write down and submit a Final report (it is being asked to add a picture of the built solution for each family in the List of Families). Once the report has been revised and approved by our team, SELAVIP will issue a Closing certificate. The certificate confirms that the project has been carried out according to the agreed terms.

During the different phases of the project, the NGOs and the projects in execution can be visited by the evaluators of the foundation, this in order to know the installations and / or to visit the projects in execution and see their progress.
